Instant Exchanges

  • Enables customers to receive exchange products immediately by placing a temporary hold on their payment card, ensuring faster resolution and reducing the risk of out-of-stock exchanges.
  • To have an access to Instant Exchanges merchants need to have any configuration related to "External Payments"
  • If not configured merchants need to create a ticket to set up Stripe or another payment gateway.

Now let's have a look at the configuration: 

  • Navigate on Refund Methods -> Exchange

 

  • If merchants don't have any configurations related to "External Payments" the Instant Exchange option will not be available. To active it merchants need to contact customer support.

 

  • In case an external payment is activated merchants can use the instant exchanges

 

What configuration merchants can find ? 

  • Charge back configuration
    • Charge back automatically 
      • Allows merchants set up automatic charge back when a certain amount of days have passed. 
      • If merchants unmark checkbox then they will have to chargeback manually from Return Control order information. 

    • Maximum days to capture payment 
      • Allows merchants select the amount of days to hold the payment in case the exhcnaged item is not returned back. 
      • It is possible to set up from 14 up to 28 days from the moment of creating exchange order. 

  • Notification Configuration
    • Send reminder when days to expire are lower than
      • Allows to set days after which a customer will start receiving notification emails 
    • Send reminder every certain amount of days
      • Allows to set the frequency of reminder emails to customer

  • Hold amount configuration 
    • Set the amount you want to hold on the user's card
      • Allows to set the amount to hold until the item is returned
      • If no value is set then the amount to hold will be shown from item that customers want to exchange. 

 

How the process of Instant exchanges would look on iF portal? 

  • Let's imagine a customer select an exchange for a product that has lower price. 
  • At the moment of creating exchange order iF portal will display the amount to hold. As you can see it is 162,50€ because the item that will be returned has value of 162,50€

 

  • Before processing to the next step customer will be notified about Instant Exchange Details. 

 

  • This is what customers see at the moment of introducing card details to hold amount. 

 

  • Once the card details is validated customers will receive confirmation window. 

 

  • From the iF Platform -> Manage Returns ->  icon of the needed return order. 

 

  • On the Return Control panel merchants can see the order has instant exchange mode. 
  • Chargeback Status
  • Chargeback overview 
    • Merchants can execute chargeback before the certain days have passed
    • Merchants can release payment hold in case a customer decides to keep the item. 

 

  • Before executing chargeback the system will ask if merchants are sure to proceed with it.
